Kefi Hotel Café Policies

Cancellation policy

As a small, independent property, we ask for your understanding in respecting our cancellation, change and no-show policy. Please read carefully.

If you must change, shorten or cancel your reservation, do so within the timeframe indicated below for a full refund minus the specified change/cancellation fee (per room). If a reservation is cancelled or shortened after the cancellation period expires, the guest is responsible for full payment of the original reservation unless the room(s) is re-booked. Changes or cancellations must be made via phone or by email, and you must receive a confirmation email from Kefi Hotel. There are no refunds for early departure.

Please understand that we cannot be responsible for inclement weather or other causes for delays and cancellations at your point of origin or the locations you may connect through when traveling to visit us. We strongly advise you to purchase travel insurance if you are traveling during periods of inclement weather or you have other reasons to suspect you may need to cancel your reservation. We thank you for your understanding!

Re-booking Policy: If you cancel your reservation after the cancellation period expires, we will attempt to re-book your room. If your room is re-booked, you will be charged the applicable change/cancellation fee noted below, plus a processing fee equal to 10% (plus tax) of the original reservation amount. If your room does not re-book, you are responsible for full payment of the original reservation. Please note that our re-booking policy applies only to reservations booked directly through the hotel and not through online travel agencies. It does not apply to “Nonrefundable reservations” as noted below.


Standard reservation:
25% change/cancellation fee per room if reservation is shortened, changed or canceled at any time up to 7 days prior to arrival. If less than 7 days prior to arrival, you are financially responsible for the full reservation unless room is re-booked (see re-booking policy, above). Please see policies for Public Holidays, Holidays and Long Weekends.

Stays of five nights or longer, or group reservations of 3 rooms or more: 30% change/cancellation fee per room if reservation is shortened, changed or canceled at any time up to 30 days prior to arrival. If less than 30 days prior to arrival, you are financially responsible for the full reservation unless room is re-booked (see re-booking policy, above).

Public Holidays, Holidays and Long Weekends: 50% change/cancellation fee per room if reservation is shortened, changed or canceled at any time up to 14 days prior to arrival. If less than 14 days prior to arrival, you are financially responsible for the full reservation unless room is re-booked (see re-booking policy, above). The following dates apply for 2022: 29 April – 2 May (Labour Day Weekend), 13 – 16 May (Kamuzu Day), 5 - 7 July (Independence Day) , 14 – 17 October (Mother’s Day Weekend), 23 – 27 December (Christmas Weekend), 30 December – 2nd Jan 2023 (New Years)

Nonrefundable reservation: Occasionally we offer a nonrefundable promotional rate. These rates are considered nonrefundable and your reservation will be charged at the time of booking. Changes to the reservation are not permitted after booking.

Reservation booked through travel agencies and outside sources: Our best rates and most flexible cancellation policies are available when you book directly with our hotel. For reservations booked through online travel agencies or other third-party sources, the cancellation policy that applies will be the policy stated on the booking confirmation sent by the booking agency.

Nonrefundable reservations booked through online travel agencies are strictly nonrefundable and no re-booking policy applies.
Terms, conditions and privacy policy

We strive to provide our guests with an exceptionally clean, safe, and friendly hotel experience. The following Terms & Conditions, and Policies have been established based on industry standards, management and operational procedures, and our personal experience of owning and operating Kefi Hotel Café. These Terms & Conditions, and Policies are considered a part of our reservation agreement with you. As our hotel guest, by reading and signing your hotel registration you are agreeing to abide by all of our terms and conditions, policies and procedures. These Terms & Conditions, and Policies are presented here to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between the Kefi Hotel Café and the guest. Our Terms & Conditions, and Policies may change from time to time, so please check back often.

All reservations will only be guaranteed with payment in advance. Guests must be 18 years and older. We accept debit or credit cards, cash deposits or electronic funds transfer. Please make sure to receive a reservation confirmation number when you make a reservation. Guaranteed Reservations will be held until 11:00 a.m. the morning following your scheduled arrival date. If you have not checked in by that time, a 100% NO-SHOW charge will be charged and the balance of your reservations will be cancelled. Kefi Hotel Café is not responsible for weather conditions, personal emergencies, or schedule changes.

Check in is between 2:00 p.m. and 6:00 p.m. If you are arriving later than 6:00pm , it’s no problem, but please let us know so that we can make arrangements.

Check-In Requirements
Guests must be at least 18 years of age to check in at Kefi Hotel Café without a parent or guardian. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (driver’s license, passport, national I.D etc.) at check-in.

Guest Registration
We require valid contact information from the guest making the reservations including first and last name, address, phone number, and signature. The names of all guests occupying the room must be registered. Information regarding your license plate/car description is also gathered at check-in for security.

Early Check-In/Pre-Registration
Early check-in is offered based on availability. If you require a guaranteed check-in for arrival prior to 2p.m. then Pre-Registration and payment may be required. Please contact us directly to make reservations.

Check-Out Time
Check out is by 11:00 a.m. Please check-out with Management / Front Desk so that housekeeping may begin cleaning your room as soon as possible. If you require a later check-out, please let us know prior to the day of your departure and we will do our best to accommodate your request. A charge may apply for late check-out.

Early Departure
No refunds will be issued for early departures.

Special Requests
We will make every effort to honor special requests such as a specific room number, adjoining rooms, roll-away beds, refrigerator, etc. upon your arrival. All special requests are noted on reservations and we will do our best to accommodate. However, the availability of these items cannot be guaranteed in advance.

Desk Hours and After Hours Service
Management and staff are available on site between the hours of 7:00 AM and 6:00 PM to tend to your needs. A phone number will be provided for you to call should you need assistance at any hour, day or night.

Café Hours
The Café / Hotel common area is open to the Public as follows:

Mondays – Closed
Tuesday – Saturday 8:30 AM – 3:30 PM
Sundays and Public Holidays 9 AM – 2PM

The indoor common area is available for resident use from 7:00 AM - 6:00 PM. If residents have requested for an early breakfast or have requested dinner the indoor common area will be open accordingly.

Our free breakfast is available to registered guests on bed and breakfast rate from 7:00 AM – 10AM in the Café. Should residents wish to have breakfast earlier please notify us by 5pm the day before. On request visitors may join residents for breakfast at charge of $12 per head.

Lunch may be ordered from the Café during opening hours. If residents require lunch on a Monday please let us know in advance so we may make the necessary arrangements.

Please note we are not open for dinner however a set dinner is available on request. Dinner is charged at $22 per head for 2 courses – excluding drinks. On request visitors may join residents for dinner. Please let us know if you will be requiring dinner by 12 noon on the day. Please notify us of any dietary requirements, restrictions and, or preferences when requesting dinner.

Smoke-Free Indoors/Rooms
All indoor areas of Kefi Hotel Café including the guest rooms and Kefi Cottage are non-smoking areas. Evidence of smoking including the smell of smoke in rooms or in the public indoor areas will result in a minimum $250 charge plus the cost of any damaged property. (Yes friends, we mean any kind of smoke.) No burning of any sort of object including candles or incense is allowed, and no other strongly-scented items are allowed in rooms. All of the above are subject to cleaning and damage fees.

Tea and Coffee Making Facilities/Refrigerator
Except for the tea and coffee making facilities and refrigerator units that the hotel provides, preparation of food in guest rooms (except for the self-catering unit) by any type of cooking appliances is prohibited.

We accept cash, debit and credit cards or electronic funds transfers. Cheques and foreign currency not accepted.

All rates are quoted in Malawi Kwacha inclusive of Tax. Rates may increase without notice. Rates as advertised on the Kefi Hotel Café website or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion. Rates are based on occupancy and are subject to availability.

Right to Refuse Service
Kefi Hotel Café is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate national laws. Kefi Hotel Café has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by local laws and the owners for the operation and management of the hotel. Kefi Hotel Café will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with local liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Kefi Hotel Café for the operation and management of our hotel.

Quiet Hours
9:00 PM to 8:30 AM. If you become aware of a disruptive guest, please contact Front Desk staff immediately by phone or in person. Televisions, voices, or other devices must be kept at a respectful low level at all times. Doors should be opened and closed quietly.

Parties Events and Gatherings
We are a small hotel. Please do not come here to party. Guests who disturb other guests will be asked to leave and will not be provided a refund. Thinking of inviting some friends over? Please check with us first! Due to the intimate nature of our property, private events that include guests not staying at the property require approval. A separate events agreement and additional fees may apply. No parties, group gatherings, company meetings, etc. may be held without prior approval, and may forfeit your reservation without refund.

Non-Registered visitors are only permitted in the common areas until 9:00 P.M. Visitors are strictly not allowed in guest rooms. If found with visitors not listed on the Guest Registration Form in the guest rooms you will be asked to vacate the premises without refund and may be charged a Guest Compensation Disturbance Fee. Visitors must be accompanied by the registered guest at all times. As a registered guest, you are responsible for your visitor at all times.

Connecting Room Policy
Connecting rooms are subject to availability. Please call the hotel directly to discuss available configurations.

Group Reservations
Large group/Block reservations must be cancelled eight (6) weeks prior to arrival date. Reservations cancelled after that date may be charged one (1) full room charge plus tax for each room reserved and the balance of their reservations cancelled.

Children of all ages are welcomed. Children aged 8 and under stay for free when sharing a room with one or more paying adult(s), using existing bedding. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must supervise them at all times. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the hotel property unsupervised.

Additional Bedding
A limited number of baby cots are available upon request. Availability is on a first-come, first-served basis. For safety, pillows are not provided for cots.

Maximum Occupancy
Cottage maximum occupancy is 4, Queen room maximum occupancy is 2. If you exceed the maximum number of guests allowed, you will be asked to rent another guestroom for proper accommodations or vacate the hotel.

Room Keys
Room keys are issued to the registered guest(s). No room keys will be issued to youth under 18 at any time. I.D. is required if you have lost your key and require a duplicate. Please return room keys to Front Desk at Check-out.

Housekeeping is provided daily between the hours of 9 am - 2 pm

Room Inspection
Management reserves the right to enter a room with a known status of “IN” for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and equipment are intact, or to address or prevent a violation of our Hotel Policy/House Rules. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Hotel Policy/House Rule is broken.

Linen Changing
Your comfort is very important to us. For guests staying multiples nights, bed linen and used towels are changed on a rotation schedule. If Housekeeping is unable to change a bed due to personal items left on a bed, a note will be left. Housekeeping will be happy to make your beds each day if all personal items are removed. Please contact our Front Desk staff if you have any additional questions or concerns.

Lost and Found Policy
Kefi Hotel Café assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately +265 888 810 439 and we will try to assist you in locating your lost item.

Found Items
Kefi Hotel Café is not responsible for any item left behind by a guest. However, any item, with the exception of perishable items, left behind by our guests and found after departure by Housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to fourteen (14) days. Reasonable effort will be made to notify the guest that an item has found. Perishable items, underwear, and miscellaneous toiletries are discarded.

Unclaimed Items/No Contact
Lost & Found items are held for fourteen (14) days while we attempt to contact the guest. If guest contact information is incorrect or cell phone mailbox is full and we are unable to contact the guest during the fourteen (14) day holding period, the unclaimed item(s) are thrown away, given to local organizations, or disposed of accordingly by Kefi Hotel Café.

Alcohol and Food Policy
Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their room. Beverages and food items which are not prepared and served from the Kefi Hotel Café kitchen and bar are not allowed in public areas such as the café, garden or common verandas , etc.

In Case of Emergency or Fire
Please notify Front Desk in the event of a fire or other emergency. A map that shows emergency exits can be found on the back of your room door and in the Guest Information Notebook located in each guest room.

Free Wi-Fi Access
Access to our free Wi-Fi vouchers are for our registered guests only and subject to a daily limit. The hotel Wi-Fi access is subject to change without notice. Wi-Fi signals are subject to change without notice depending on the room’s location, the status of our Wi-Fi equipment, and interference from other local wireless signals. Kefi Hotel Café assumes no liability for guest use.

All staff is trained and required to respond to potential violations of our Hotel Policy/House Rules. Guests who refuse to abide by the reasonable standards and policies established by Kefi Hotel Café for safety of all guests, staff, owners, property, and the operation and management of the hotel will be evicted, with no refund. In addition to the room charge, a minimum $100.00 cleaning fee per room will be charged for infraction(s) of our Hotel Policy/House Rules.

Illness and Epidemics
Kefi Hotel Café reserves the right to refuse accommodations to a guest arriving with a contagious disease. In cases where sickness occurs during the stay, please notify the Front Desk staff. In the case of serious sickness, you may be requested to receive appropriate health care from a nearby healthcare facility. During epidemics we are entitled to employ precautionary measures within our judgment or as required by local authorities. We may charge you a room cleaning fee as we deem appropriate under the circumstances.

Parking at Own Risk
For security purposes all vehicle(s) must be listed on the registration at check-in. Only registered vehicles and guests will be allowed entry to Kefi Hotel Café outside of our opening hours. Parking for registered guest(s) is free. All vehicles are parked at the risk of the owner. Kefi Hotel Café shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property. If a vehicle is left in the hotel parking lot after the guest has departed without the written consent of the hotel, the hotel reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on hotel premises.

Damage and/or Theft of Hotel Property
You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room (s), hotel’s premises or property caused by you or any person in your party whether or not staying at the hotel during your stay, Kefi Hotel Café reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by Kefi Hotel Café as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

Damage to Mattresses and Bedding
Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

Changes or Modification to the Hotel Policy/House Rules
Kefi Hotel Café reserves the right to amend, modify, change, cancel, vary or add to these Hotel Policies/House Rules or the arrangements and content featured on our Hotel website at any time without prior notice. Please check our website regularly for updates to Hotel Policy/House Rules. Any modification to these Hotel Policy/House Rules that occurs before your departure is considered a part of your reservations agreement with us. A copy of these Hotel Policy/House Rules is located on our website, in the Guest Room Notebook, and available from Front Desk staff upon request.

However, no warranty, expressed or implied, is given that the information provided on this website is error free. Kefi Hotel Café does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice.
